VISA procedure
Visitors to Vietnam must obtain a Vietnamese visa from either one of Vietnam's Embassies or a Consulate office worldwide or on arrival unless they come from one of the visa-exempt countries. All visitors must hold a passport valid for at least 6 months.
Visa-exempt countries
Most nationalities require a visa to enter Vietnam. Exceptions are:
- Citizens of the following countries may enter Vietnam for 30 days without a visa: Indonesia, Laos, Malaysia, Singapore, Thailand, and Cambodia.
- Citizens of the Philippines may enter Vietnam for 21 days without a visa.
- Citizens of the following countries may enter Vietnam for 15 days without a visa: Japan, South Korea, Denmark, Finland, Norway, Sweden, Britain, France, Germany, Spain, Italy, Korea (republic), Belarus, and Russia.
Besides these exemptions, visitors must have a Vietnam visa before entering Vietnam.
There are two ways/types to obtain a Vietnamese visa before entering Vietnam
Vietnam visa obtained from any Vietnam Embassy or Consulate office worldwide
The general visitor visa is valid for 30 days and can be extended if required. When your registration to participate in the conference and/or its associated events is confirmed, the Organising Committee will send you an invitation letter so that you can use it to apply for a Vietnamese visa via the Vietnam Embassy or Consulate in your country. Visa stamp fees are directly paid by applicants to the Vietnam Embassy or Consulate. Please contact the Vietnam Embassy or Consulate office near where you live one month before your scheduled arrival date.
Vietnam visa-upon-arrival (to be processed by a Local Travel Agent in Vietnam, authorized by AMES2024)
If there is no Vietnamese Embassy or Consulate in your country, or you wish to obtain a Vietnamese visa on arrival, the Organising Committee will arrange paperwork for you to obtain a visa on arrival (visa-on-arrival-approval-arrangement fee applied). Ordinary passport holders can request visa support via the website and visa-on-arrival approval letter issued by the Vietnam Immigration Department. With the letter, visitors can get on board to fly to Vietnam. Upon arrival at the indicated international airport in Vietnam (e.g., Tan Son Nhat Airport in Ho Chi Minh City, Da Nang Airport, or Noi Bai International Airport in Hanoi), the visitor shows a copy of the approval letter + original passport + 1 immigration form + 2 photos plus visa stamp fee (paid by applicants directly to the arrival airport’s Immigration desk) to get visa stamped on your passport on arrival.
In urgent cases, please contact AMES2024's secretariat two weeks at the latest prior to your scheduled arrival date and provide the following information:
1) Full name on passport
2) Passport number
3) Date of birth
4) Nationality
5) Date of arrival
6) Planned flight number and time
7) Your email address
8) Required visa type.
* Make sure that you have your passport, that it is still valid for six months, and contains two white pages.
Visa procedure for some exceptional nationalities
According to the regulations of the Vietnam Immigration Office, for passport holders of some exceptional nationalities, the paperwork required for a Vietnam visa application will be different and more complicated than the ordinary nationalities. A process of some recommendation letters from the Government Bodies (that grant auspices for the AMES2024's organizer) will be required by the Vietnam Immigration Office for the visa application. After that, an approval letter from the Vietnam Immigration Office will be issued so the visitor can use it to obtain a visa on arrival. Visitors will be sent a copy of that approval letter to get on the flight to Vietnam and will obtain a Vietnam visa at the Immigration counter at the airport. The procedure to obtain a Vietnam visa at the airport is the same as that of ordinary passport holders, as indicated above.

- Afghanistan
- Bangladesh
- Cameroon
- Congo
- Ghana
- Iran
- Iraq
- Kenya
- Mozambique
- Nigeria
- Pakistan
- Sri Lanka
- Syria
- Tunisia
- Turkey
Passport holders of these exceptional nationalities are advised to contact the AMES2024's secretary as soon as possible and no later than 30 days prior to the event for visa procedures for more details. The processing fee might be higher than that applied for ordinary passport holders, depending on nationalities and the time of receiving visa support requests.

Vietnamese visa via Embassy or Consulate
An invitation letter will be sent so you can apply for a visa in person or by post with the Vietnamese Embassy or Consulate in your country. Visa stamp fees are paid by applicants directly to the Vietnamese Embassy or Consulate as per their cost regulations.
Visa on arrival
A pre-approval letter issued by the Vietnam Immigration Department will be arranged and sent to you before you travel. You will take a copy of the letter + your original passport + 2 photos, plus a visa stamp fee (paid by applicants directly to the arrival airport’s Immigration desk) to get the visa stamped on your passport on arrival.
